<content:encoded><![CDATA[<p>I've come across many intranet managers for different sizes and types of organisations.  One thing which is constant with all their intranets is the need for some form of intranet standards.  Some have many, some have a few or none even.</p>
<p>Why have intranet standards? </p>
<p>Well, it can be for legal, regulatory, business, technical or users' needs and can be all or some of these.  It will depend on the type of organisation and its culture for what standards are needed to support it.</p>
<p>What are intranet standards?</p>
<p>These can be legal reasons with web accessibility; business needs for information retention; user needs like print and feedback features; or regulatory like with BT's need to keep customer information separated from some parts of BT.  Whatever they are, you need to know they are being met but how?</p>
<p>BT's intranet standards tools</p>
<p>BT underpins its intranet standards with tools that check web content for certain words, code or features.  If they are/are not found (depending what is being checked!) the owner of the content is asked to review the content and either update or remove it.  If no action is taken the web content is automatically removed so users don't make business decisions based on poor content.</p>
<p>What do BT's intranet tools check?</p>
<p>Page owner and review date so users have someone to contact for enquiries and know the content is current and can be relied upon.</p>
<p>Web accessibility up to W3C AA standard so any person with impairment has the same or similar experience as anyone else.</p>
<p>Security markings so any confidential information is properly protected and not found when checked for.</p>
<p>We will be expanding to also check for:</p>
<p>Names - if a person leaves BT, we can quickly identify the pages and change the name.</p>
<p>Readability - BT will try to use the Flesch index to calculate how readable content is for users.</p>
<p>Code - if site owners are not using the right code, say to download the correct version of our global navigation bar, BT can find out and remind the site owner.</p>
<p>So, do intranet standards work? </p>
<p>Yes, if you are sensible and don't create so many it is a barrier to publishing.  Make sure standards can be checked for compliance.  If you can't is it worth having the standard?  Test out with users if they do improve their experience and enocurage them to use your intranet more.</p>
<p>Lastly, with content extending into social media, you need to think about how you apply standards for more formal types of content appropriately.  We're thinking how to do this in BT which will be covered in a future posting!</p>

<content:encoded><![CDATA[<p>My work focus over the past 16months has been implementing booking systems, now I'm returning to the organisation's intranet to "sex" it up.  When we got the new intranet up and running, the structure and navigation in place, we worked hard to communicate the full potential of this channel. Sadly, no matter how hard we tried, most of our authors just wanted to publish pages of paperwork. We went to great efforts to encourage the organisation to think about how different audiences find and use information, how we could help staff to do their jobs using the intranet as the platform, I even went out to care homes to show staff the functionality of the intranet and to find out how staff were accessing information, what they used the intranet for, what they needed. I ended up having to show them basic keyboard skills. The feedback was frightening, these staff definitely needed information from the intranet, yet none of the managers or web staff felt empassioned to do anything to help their staff. They were too busy, those staff only need to access information occasionally, what's the point? Naively, I was saddened at the lack of interest by the staff who built the pages to consider their users needs, levels of ICT understanding, etc, particularly for staff that were based in satellite offices.</p>
<p>So now, after 16 months on other projects, I'm back to see if I can inspire the organisation to look at it's intranet again and explore how it can become a dynamic and inclusive communication channel for all staff. I would be very interested to hear from anyone who has worked or is working on their organisation's intranet and what have been the quick wins, what has engaged the staff, what has not worked, etc...</p>

<content:encoded><![CDATA[<p>As we've busily rolled out one social media tool after another within BT, one question has got bigger and bigger in my mind and has become increasingly troublesome ... what's the right balance between <em>recreating </em>stuff on our intranet that already exists on the internet, and just <em>integrating </em>tools from the internet into our intranet toolkit for employees through  our <a href="http://richarddennison.wordpress.com/2008/01/02/what-is-an-intranet-2/">permeable firewall</a>.</p>
<p>Not sure how well I articulated that?? Here's an example ... someone in BT has produced an internal version of Twitter ... the question is, do we need an internal version of <a href="http://www.twitter.com/">Twitter </a>or can we just use the real thing ... <a href="http://richarddennison.wordpress.com/2008/04/18/twitter-in-the-enterprise/">as indeed my team currently is</a>? Why would anyone want to tweet in two places? Also, the great thing about having a Twitter network is that it incorporates people from around the globe with whom you have common interests and ideas. A closed, corporate, twitter-replica would surely be a shadow of the real thing in terms of value to the individual as it would only have a very limited gene pool from which to create interesting and vibrant networks. Trying to integrate an internal and external version would be very confusing and could lead to employees posting internal stuff to external networks ...</p>
<p>This question became very troublesome for me after we launched our <a href="http://richarddennison.wordpress.com/2008/06/17/enterprise-social-networking-has-landed-in-bt/">internal enterprise social network</a> a few weeks ago. It was a long time in gestation and is a great tool with lots of similar functionality to <a href="http://www.facebook.com/">Facebook</a> like status updates, message board (or wall), contacts (friends) etc. However, the glaring question is why would someone who uses Facebook (or indeed any one of the many other social networking sites) want to use an internal, closed version of the same thing with a limited gene pool of knowledge and ideas from which to draw. Indeed, even if someone wanted to use the internal version, how would they do so without duplicating activity on both or losing value/possible opportunities by only doing it on one and not the other ...</p>
<p>Since we launched our <a href="http://richarddennison.wordpress.com/2008/05/07/blogging-inside-bt/">internal blogging platform</a>, I have had an internal blog as well as this external one. My internal blog has two posts on it ...</p>
<p>The balance between <em>recreating </em>and <em>integrating</em> I think is going to be what makes or breaks our internal social media tools in the future. We need to give it some serious thought ... I need to give it some serious thought. I don't think we've got the balance right yet ...</p>

This is a event where all the Microsoft top management people observe them behaving in a team and understanding each other. It’s fun, but an important event from the company’s point of view because they get to know the potential of each employee.</span></p>

<content:encoded><![CDATA[<p>We waited and waited for web 2.0, and now we have it.  In this century's second decade (2010-2020) we will see our TV's transform into the next tier when it turns 2.0.  What exactly does all this mean?  Is it simply marketing jargon? The truth is that the world is changing folks and if you can't keep up you'll be left behind.  Love it or hate it... new technologies are constantly redefining business models.  </p>
<p>We saw this happen when barcodes were introduced, and years later WAL-MART designed a distribution system for the new-age, the system has since been adopted differently by warehouses, department stores, grocers, all over.  The information system allows for more WAL-MART product to be put on shelves faster than ever before.. by basically telling the store what is being scanned and sold.  This changed the daunting process of writing overhead orders into a breeze when they basically began writing themselves.  While I'm on the topic of walmart check out the new logo they unveiled this week:</p>

<p style="text-align:center;"><strong>Interesting eh? Look like they have a new "Target" demographic, yes that was a pun</strong>.</p>
<p>When exactly will the next big distribution system will come along?  As the world turns greener and our culture becomes less-resistant to technology... is it possible that we may work in a paperless world?</p>
<p>Not many industries haven't changed due to new technologies in the past 15 years, obviously the web has had a serious effect on business communication, and e-commerce.</p>
<p>Advertising is no different.  Our landscape now has a fourth dimension...  We were some of the first to gain big capital through the internet and capitalize we did.  It is ever-changing on the web and to stay on top you must stay informed.  </p>

<description><![CDATA[For those of you who do not know, I work at my old high school, employed as a Network and Intranet A]]></description>
<content:encoded><![CDATA[<p>For those of you who do not know, I work at my old high school, employed as a Network and Intranet Administrator. It's even got it's own nerdy term coined up, I'm part of the ex-Students' Administration Team (eSAT)... AND I've even got an eSAT t-shirt for it... but yeah, I'm not wearing that today :P</p>
<p><img class="alignleft size-medium wp-image-30" src="http://methre.wordpress.com/files/2008/07/photo-93.jpg?w=300" alt="" width="300" height="225" /> I've got my own office set-up and everything right within the server room, so it's nice and air-conditioned and pretty awesome in general.</p>
<p>Today the Year 11's are having their Recognition Assembly, so I went down and had a bit of a look. It brought back some memories, but yeah, uni is still better haha.</p>
<p>The one downside to all of this is that we have our internet filtered by the Dept. of Education so that means No Gmail/Hotmail etc, No Facebook, No YouTube, No MySpace (as if anyone uses that anymore anyway) and all the little nerds are pretty gutted that they have no more of their favourite Pokemon/Games/DeviantArt websites... oh well...</p>

Obwohl schon seit Ende der 90er Jahre im Einsatz und inzwischen fast in jeder Web 2.0 Anwendung integriert, fristet RSS im Endverbraucher Bereich immer noch ein Schattendasein.</p>
<p>Das liegt zum einen daran, dass RSS eine Funktionalität ist und keine alleinstehende Applikation oder Plattform wie Twitter oder Facebook. Zum anderen sind vielleicht die Vorteile von RSS Feeds und den zugehörigen Endgeräten, den RSS-Readern, nur für diejenigen interessant, die viele Nachrichten aus unterschiedlichen Quellen konsumieren. Der normale Nutzer hat eben eine recht übersichtliche Zahl von Seiten, die er direkt ansteuert, um sein Informationsbedürfnis zu befriedigen. Dazu braucht er nicht unbedingt einen Feedreader.</p>
<p><strong>Wirklich große Chancen für RSS sehe ich auch in Zukunft nicht im Endverbraucher-Markt sondern im Unternehmensbereich.</strong> Soweit ich das überblicken kann, ist RSS dort zur Zeit zwar auch nicht das vorherrschende Thema. Unternehmen wiederum lassen sich stärker als vom angesagten Zeitgeist von einem konkreten Nutzen überzeugen, vor allem, wenn er sich direkt in Geld ausdrücken lässt.</p>
<p>Ein beeindruckendes Fallbeispiel schildert <strong>Janet Johnson</strong> in ihrer Post <strong><a href="http://janetleejohnson.com/2008/06/29/enterprise-rss-saves-400m-in-oil" target="_blank">"Enterprise RSS Saves &#62; $400M in Oil"</a></strong>. Das <a href="http://www.wallem.com/WGL_Overview.htm" target="_blank"><strong>Fracht- und Schifffahrtsunternehmen Wallem</strong></a> hat weltweit <strong>über 6000 Mitarbeiter auf über 300 Schiffen</strong> und <strong>600 Mitarbeiter in über 50 Büros,</strong> die wiederum <strong>über 18 Länder</strong> verteilt sind. Zur Koordination dieses riesigen, dezentralen und mobilen Unternehmens-Netzwerks setzt Wallem RSS ein, um "die richtige Information zur richtigen Zeit den richtigen Leuten zur Verfügung zu stellen". Dazu wurde das <a href="http://www.attensa.com/products/" target="_blank">Enterprise RSS System von Attensa</a> in die Kombination von <a href="http://www.k2.com/en/displaycontent.aspx?id=16" target="_blank">Blackpearl's K2</a> und Microsoft’s SharePoint integriert.</p>
<p>Wallem war durch die effektivere Informations-Verteilung in der Lage, das Flottenmanagement derart zu verbessern, dass<strong> der Ölverbrauch der 329 Schiffe um 8 % bzw. um 394.800 Dollar pro Jahr gesenkt</strong> werden konnte. Auch <strong>bei Schmieröl konnten 6% bzw. 11.844 Dollar eingespart werden</strong>.</p>
<p><strong>Patrick Schlesiger</strong>, Wallem's CIO präsentierte das Fallbeispiel <a href="http://www.attensa.com/blogs/attensa/2008/06/enterprise_20_mashup_business.php" target="_blank">auf der zurückliegenden Enterprise 2.0 Konferenz</a> mit einer trockenen Ansage:</p>
<blockquote><p><em>This is not an elegant solution. But guess what? It adds value. It’s simple. Everyone knows what’s going on. If my chief architect leaves, I can hire someone else who will understand it. Business isn’t at risk.</em></p></blockquote>

<title><![CDATA[Nyt job 1. september 2008]]></title>

<p>Den 1. september starter jeg i et nyt job i <a title="Center for Koncernforvaltning - Miljøministeriet" href="http://www.cfk.dk/" target="_blank">Miljøministeriets Center for Koncernforvaltning (CFK)</a>, som til den tid ganske vist ikke længere findes, fordi centeret er et af de første steder, der skal sluses ind i de nye statslige Administrative Servicecentre (ASC). Til samtalen havde de også lidt svært ved at få fortalt, at de har en dejlig stilling ledig, men at de ikke helt vidste, hvor de skulle gøre af den person, de ville ansætte! For mig betyder den fysiske placering intet - jeg kunne så mænd sidde på månen, hvis der ikke er plads andre steder.</p>
<p>Jeg var faktisk slet ikke på udkig efter nyt job, da jeg jo er glad for mit job i Udenrigsministeriet (UM), men stillingen er en åremålsansættelse, der udløber i april 2009 og jeg blevet ringet op af en god ven, der sagde, han syntes, jeg skulle prøve at studere et stillingsopslag på CFKs webside. Da jeg så opslaget, må jeg sige, at jeg tænkte, at det var skrevet til mig, for overskriften var "Tidsregistrering &#38; kommunikation". Stillingen er en fastansættelse i modsætning til min nuværende kontraktansættelse.</p>
<p>De bruger mTID til tidsregistrering, og det system har jeg arbejdet med siden år 2000 og implementeret og drevet i <a title="Patent- og Varemærkestyrelsen" href="http://www.dkpto.dk/" target="_blank">Patent- og Varemærkestyrelsen</a>, i <a title="Danmarks Statistik" href="http://dst.dk/" target="_blank">Danmarks Statistik</a> og nu i <a title="Udenrigsministeriet" href="http://www.um.dk/da" target="_blank">Udenrigsministeriet</a>. Mine kompetencer på den del af stillingen, er der derfor ikke rigtig tvivl om.</p>
<p>Den anden del af stillingen - kommunikationsdelen - drejer sig om at opbygge nyt Intranet og at skrive på dette net. Jeg holder virkelig meget af både at lave websider og at skrive, men har ikke haft så stor mulighed for at gøre det erhvervsmæssigt i de seneste år. Så denne del af stillingen er udelukkende lystbetonet for mig. Tænk at arbejde med noget, der er en hobby! Denne del af stillingen vil give mig nye formelle kompetencer og udfordringer, og det glæder jeg mig meget til!</p>
<p>Var til en rigtig god samtale i tirsdags. En halv time efter jeg havde lukket døren bag mig, ringede de og tilbød mig jobbet. Det er helt fantastisk og jeg er rigtig glad.</p>
<p>Nu er formaliteterne så meget på plads, at jeg har kunnet sige op i UM, og som altid, når jeg holder op et sted, jeg har været glad for at være, er det med blandede følelser, jeg siger op. Det er dels vemodig at skulle sige farvel til gode kolleger, dels er det spændende med alt det nye, der skal ske, og alt det man skal lære og skal sætte sig ind i.</p>
<p>Jeg plejer at skifte job, når jeg har været et sted så længe, at jeg føler mig som "verdensmester" og næsten er bange for at skifte job. Derfor er det lige nu det helt rigtige tidspunkt for mig at skifte.</p>
<p>I aftes fejrede jeg det nye job sammen med en nær og kær ven - og vi klinkede glassene med et godt glas Chablis i!</p>

<title><![CDATA[Don't forget your librarian]]></title>

<content:encoded><![CDATA[<p>It was recently pointed out that I neglected to mention the word "library" or "librarian" at all during the content and staffing sections of our recent webinar on intranet design.  Honestly, I can't believe I did that.  What a slip-up for someone who works daily with librarians!  I guess I just take their involvement as something so central, that I forget that others may not.   Let me attempt to redeem myself...</p>
<p>The firm librarian or library department should be involved in developing and choosing the content of your intranet.  Their interaction with practices, administration and all levels of staff provide them a unique take on how the firm works and how information flows through the firm.  They also have a lot to add around the topics of categorization, taxonomy, and content organization. </p>
<p>As for interface design and functionality, they work with web sites and services heavily and have skills in the evaluation of web services for content and usability.  Get them involved early and you may be surprised at the benefits they can bring to your project.</p>
<p>Finally, as for intranet staffing and project team membership, librarians can be your allies in many respects.  Part of a law firm librarian's job is to foster relationships with partners, associates and new lawyers surrounding resources and library services training.  If you also have them heavily involved in your intranet (whether on the governance board, steering committee, project team, or some other way), guess what else they're going to talk to those associates and new lawyers about?  That's right - using the intranet!</p>
<p>No matter how you get them involved, your firm library can definitely add a lot to your intranet project.  Don't make the same mistake as I did in my presentation and leave them out!  You might not realize it right away, but you will probably regret it.</p>

<title><![CDATA[Second session on design in Creating a Successful Law Firm Intranet series a success]]></title>

<content:encoded><![CDATA[<p>We just finished presenting the second webinar in a five-part series on Creating a Successful Law Firm Intranet.  This time the topic was intranet design, and we included the five areas of intranet design as well as a law firm case study.  My part of the presentation focused on requirements, project plans, and staffing.  <a href="http://southertonconsulting.com/" target="_blank">Laurie Southerton</a> talked about architecture and visual design.  Meredith Williams gave us an inside look at the design process within her firm, Baker Donelson.  Add that all together, and the session was jam-packed with great information! </p>
<p>In fact, one question we couldn't get to during the presentation was directed at Laurie, and I've provided her answer below.</p>
<blockquote><p><strong>Question</strong>: Where can I find more information or references about visual design?</p>
<p><strong>Laurie's answer</strong>: This is the part of designing an intranet that people like best and usually have a very strong opinion about what it should look like.  Working with a good visual designer (whether from your in-house team or with a contract designer) can make a difference between a blah site and a great site.</p>
<p>My favorite book to use with management and teams is a short, simple, easy-to-read book by author Steven Krug - Don't Make Me Think: A Common Sense Approach to Web Usability." It has a great chapter on "Design 101," and one on "Desinging the Home Page."</p>
<p>I also recommend the following links for more information about visual design:</p>
